A clear fireplace brief helps an installer assess the renovation before visiting. Gather photographs of the complete arrangement, appliance details and descriptions of the symptoms. A close-up of one crack is insufficient on its own: the surrounding area helps show which layer needs attention.
Gather appliance details and repair history
Record the fireplace insert manufacturer, model and markings from the available identification plate. Include its manual and previous installation information where available. Add the dates of firebox lining, gasket and finishing-layer replacements, together with the materials used.
Separate documented details from assumptions. If the board behind a skim coat is unknown, record that uncertainty rather than guessing from its colour. The installer can then plan an inspection or controlled opening of the surround.
Take three groups of photographs
First photograph the fireplace with nearby walls and furnishings. Then show the grilles, service access and visible connections. Finally take close-ups of damage with a scale, and photographs of the accessible lining inside the cold firebox.
For each symptom, note when it appears and whether it changes after heating. Recurring cracks, unusual door closure and rapid glass soiling help define what the installer needs to investigate.
Agree the renovation scope and material arrangement
State whether the proposal concerns finish repairs, firebox lining replacement, a new surround or an assessment of appliance operation. These tasks may require different specialists.
If the proposal includes HT fireboards and Board Adhesive, ask for the complete arrangement: substrate, fixing, joints and finish. A product list alone does not explain the installation or establish that the cause of damage has been addressed.
For the quotation, distinguish visible work from work that can only be assessed after opening the surround. Include drying conditions, return-to-use timing and handover documents. This brief makes quotations easier to compare and provides a record for checking the completed work.
